Meeting minutes.

GLENWOOD HOMEOWNERS’ ASSOCIATION

MINUTES of ANNUAL MEETING SEPTEMBER 9th 2006

Meeting was held at the home of Gary and Sin Sing Miller.

In attendance: Ken & Carolyn Azure, Richard LaFave, Gary & Sin Sing Miller, Gerald & Susan Munger, Mike Smith, Ed & Sheila Willis, Jeanna Van Dyke

Officers present: President Ed Willis and Sec-Treas Susan Munger

  1. President called meeting to order at approximately noon.
  2. As Minutes of the 2005 meeting had been sent to membership earlier, it was agreed not to read them at this time; no additions or corrections.

1a motion made, seconded and carried to approve 2005 minutes

  1. 1 Treasurer’s Report through June 30 was sent to membership in July; Sec-Treas reported following updates through August 31:

additional dues receipts of $545

expenditure of $109.99 for fire safe

current balance $9,041.94

August bank statement had not been received.

Discussion arose whether to seek an interest-bearing account. Interest would accrue few dollars per year as rates are very low. Accruing interest might require the Association to make income reports to the government.

Further discussion ensued about minimum balance requirements and whether it would be feasible to invest some available dollars. Sec-Treas agreed to look into that.

It was announced that bank charges for the current type of account have been dropped, saving the Association about $40 per year. It was decided to keep the account as is, pending further inquiry.

2 Accounts in Arrears prior to 2003 through 2005 total $850. The President will contact those parties again; Sec-Treas will send written reminders.

Discussion arose concerning placing a lien on the account in arrears prior to 2003. A lien ensures that the Association is notified if and when owner intends to sell this property; if sold, at time of closing outstanding liens must be satisfied.

  1. Old Business:
    1. Maintenance of Glenwood Lane: it was agreed the Lane is in good condition. A couple low spots allow some accumulation of water; Mike Smith and Ed Willis offered to correct this problem with rock and gravel as needed.
    2. HOA Records: it was stated that the new fire safe is full. Discussion ensued about discarding documents no longer needed, e.g. HUD Block Grant, Neighborhood Watch information, old bank statements. It was decided to discard the first two and place older bank statements in a separate file box for now.

Sec-Treas mentioned that current Association business is stored on computer disk with copy to the President to be kept up to date. A list of fire safe and file box contents will also be provided to the President.

  1. New Business
    1. Election of Officers: Office of Vice-President is open and nominations were called for; Jeanna Van Dyke offered to serve. No other offers or nominations arose.

1a motion made, seconded and unanimously carried to accept Jeanna as Association’s Vice-President

2 Good of the Order

It was mentioned that Campbell’s Glenwood Store has sold, with a new family moving into the neighborhood. Watch for young children in the area.

  1. Meeting Adjourned at approximately 1 pm. Members enjoyed refreshments provided by Sin Sing.
