Meeting minutes.

GLENWOOD HOMEOWNERS ASSOCIATION

MINUTES 10 SEPTEMBER 2005

Meeting was held at the Millers’ home.

  1. President called meeting to order at 10:15 and introduced new members present: Richard and Carey LaFave; Steve and Candy Falk
  2. Minutes of 2004 HOA meeting were read by Shelley; approved as read.
  3. Treasurer’s report was read by Shelley; approved as read.
  4. Old Business:
    1. Maintenance of Glenwood Lane

Discussion about quality of last year’s oiling job – doesn’t seem as effective as previous year. Better results desired. Cost of oil and other treatments considered, such as chip sealing. Comment that not all homeowners benefited from oiling; other comments that oiling contributes to dust control at least, which benefits everyone.

1a Motion: to consult professional road maintenance sources for recommendations. Seconded and carried. Steve McCarthy will contact County Roadmaster, Kerr, and Bretthauer [two oiling companies] for information and recommendations.

1b Motion: once data from inquiries are in, inform HOA members and jointly decide on best option, considering HOA funds available, and proceed. Seconded and carried.

2 HOA Records Management

Discussion re location, retention, safety and use of HOA records, including archival material as well as documents currently in use. Suggestions included bank safety deposit box, fire-proof safe or box, attorney’s office and use of shredder. Records are currently contained in two large file boxes that move every three years to an elected officer and are presently in the care of Shelley. Boxes contain some material that is important historically but not currently in use. Suggestion followed that current documents and originals should be stored in a fire-proof container in care of HOA President. Archive and historic material may be kept separate from current documents mentioned above, location to be determined. It was mentioned that HOA presently does not have an attorney.

2a Motion: to authorize current and newly-elected officers to meet in about 30 days, collect relevant HOA documents, review content, dispose of [if appropriate], update as needed, copy and distribute to all HOA members. Copy and distribution may be in electronic form. Seconded and carried.

3 HOA Member Accounts in Arrears

Ed and officers have been successful in bringing accounts up to date. Only one account remains in arrears for more than 6 years. Three accounts are in arrears for three years, including the current year. The officers will continue to pursue those accounts for resolution. See Treasurer’s report for details.

    1. Election of Officers

Office of Sec-Treas is open. Nominations from the floor were Carey LaFave and Susan Munger. Ballots were distributed to each attending member, collected and then counted by the officers. Susan Munger was elected Sec-Treas for a three-year term.

President has two years remaining; V-Pres has one year remaining.

2 Improvement at corner of Grimmet and Glenwood Lanes

Ed announced that work will begin soon to correct and improve an area of the above corner which has sloughed off. Members were invited to help; several volunteered.

Post-script on Sept 13, we deposited $1500 dues into our account.

Balance is now $8400.26.
